Job Desk portal: Terms and Conditions
Version 2026-11. Last updated November 2026.
These terms apply to your use of the Insight Technology Job Desk customer portal (“the portal”), provided by Insight Technology (Suffolk) Ltd, Saracen's House, 25 St Margaret's Street, Ipswich, Suffolk, IP4 2BN (“Insight”, “we”, “us”). By registering for or using the portal you agree to them. They cover the use of the portal only. The work we carry out for you remains covered by our usual terms of business and any quotation or agreement between us.
1. Your account
- Accounts are for business customers of Insight. Every new account must be approved by us before it can be used, and we may decline a registration without giving a reason.
- The information you give us when registering must be accurate, and you must keep it up to date.
- Each account is for one named person. Please don't share your account with colleagues. Ask us, and we can discuss additional access.
2. Keeping your login secure
- Keep your password private and don't use it for other websites. When you sign in we also email you a one-time code (you can choose to have a device remembered for 7 days). Keep access to your email account secure too, and don't let a device be remembered if others use it.
- Tell us straight away on 01473 845365 if you think someone else knows your password or has used your account.
- You are responsible for activity on your account until you tell us it may have been misused.
3. Raising jobs
- Information you give when raising a job (fault details, site address, site contact, access notes and photos) must be accurate and complete to the best of your knowledge. Inaccurate information can delay the job or lead to extra charges for wasted visits.
- Only upload photos and information you have the right to share, and avoid including people's faces or personal details in photos where you can.
- Raising a job is a request for service. Each job is reviewed by us and may be approved or declined. If we decline a job, we'll give you the reason.
- The portal is not an emergency service. For anything urgent, please also call us on 01473 845365.
4. Acceptable use
You must not:
- use the portal for anything unlawful, abusive or unrelated to services from Insight;
- try to access accounts, jobs or information that aren't yours, or to get around the portal's security;
- upload viruses or harmful files, or anything offensive or that you don't have the right to share;
- overload, disrupt or use automated tools against the portal.
5. Suspending or closing accounts
We may suspend or close an account at any time if we reasonably believe these terms have been broken, the account is being misused or is at risk, or the customer relationship has ended. Where appropriate we'll tell you why. You can delete your account at any time from My account in the portal, or ask us to (see the privacy notice).
6. How long jobs stay visible
Completed jobs stay visible in your portal for 30 days after they are marked completed, and are then removed from the customer side of the portal. We keep our own records of the work for our accounts and legal obligations, as described in the privacy notice. If you need a copy of a past job report, please ask us.
7. Data protection
We handle personal information in line with UK data protection law (UK GDPR and the Data Protection Act 2018). Our privacy notice explains what we collect through the portal, how we use it and how long we keep it.
8. Availability and liability
We aim to keep the portal available and accurate but can't guarantee it will always be uninterrupted or error-free, and we may change or withdraw features. Nothing in these terms limits liability that cannot be limited by law.
9. Changes to these terms
We may update these terms. If the changes are significant we'll tell you, for example by email or when you next sign in. Continuing to use the portal means you accept the updated terms.
