Job Desk privacy notice
Last updated November 2026.
This notice explains how Insight Technology (Suffolk) Ltd (“Insight”, “we”) uses personal information collected through the Job Desk portal. We are the data controller. Contact us at Saracen's House, 25 St Margaret's Street, Ipswich, Suffolk, IP4 2BN, on 01473 845365 or at sales@itsuffolk.com.
What we collect
- Your account: your name, company name, email address, phone number, company address (if given), password (stored only in a securely scrambled form we can't read), and when you accepted our terms.
- Jobs: fault descriptions, site addresses, site contact names and phone numbers, access notes, photos, and records of our engineers' visits, including any signature given on site.
- Cookies: the portal uses only essential cookies, to keep you signed in and, if you choose, to remember your device for 7 days so you don't need a sign-in code every time. We don't use advertising or tracking cookies.
- Security records: sign-in times, IP addresses and actions taken on your account, used to protect the portal and investigate misuse.
How we use it and why
- To run your account and carry out, record and invoice the work you ask us to do. This is necessary for our contract with you or your organisation.
- To email you sign-in codes and updates about your account and jobs, and to contact site contacts about visits. Necessary for that contract and in our legitimate interests in running the service well.
- To keep the portal secure and prevent misuse. This is in our legitimate interests.
- To keep business and accounting records. This is a legal obligation.
We don't sell your information or use it for marketing through the portal.
Who else handles it
We use a small number of trusted UK and international service providers under contract: Mythic Beasts Ltd hosts the portal on servers in the UK, and Google (Google Workspace) sends our emails and stores our encrypted backups. Where data is processed outside the UK, it is protected by appropriate safeguards. We may also share information where the law requires it.
How long we keep it
- Completed jobs stay visible in your portal for 30 days after completion and are then removed from the customer side.
- Job records, reports and photos are kept by us for 6 years after the job is closed (or declined), for accounting and legal purposes, then deleted automatically.
- Inactive accounts with no sign-in for 2 years and no open jobs are deleted. We email you 30 days beforehand.
- Rejected registrations are deleted 30 days after rejection.
- Sign-in and audit records are kept for 12 months.
- Backups are encrypted and overwritten within 35 days.
Closing your account
You can delete your account at any time from My account in the portal (once any open jobs are finished), or ask us to by emailing sales@itsuffolk.com or calling 01473 845365. We'll delete your login and personal details, but keep the job records we need for our accounts and legal obligations for the periods above.
Your rights
You have the right to ask for a copy of your information, to have it corrected, deleted or restricted, to object to how we use it, and to receive it in a portable form, subject to some legal exceptions. To make a request, contact us using the details above. If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).
